PT · Club OS module

One register for every person the club depends on.

People & Teams is the Club OS record of members, volunteers, coaches, parents, staff and teams. It is the source other modules use when they need to know who someone is, what they can do, and which team they belong to this season.

The job

What People & Teams is for.

Stop rebuilding member lists, team sheets and role contacts every season. Give the registrar, president and team managers one place to find the right person, with history attached.

Who uses it

Built around real club roles.

Registrar

Maintains the living member record and season allocations.

President

Sees who holds which role without chasing inboxes.

Team manager

Works from a current team list, not last year’s export.

Incoming committee

Inherits people and role history instead of a blank spreadsheet.

Inside the module

The functionality committees actually run.

01

A single person record

Each person has one record the club can reuse across seasons. Contact details, roles, teams and notes sit on that record instead of being copied into new files each year.

02

Teams as operating units

Teams are not just names on a sheet. They hold players, coaches, managers and age-group context so fixtures, grading, canteen rosters and messages can point at the same group.

03

Roles with a trail

Committee, coaching and volunteer roles are assigned to people, not to shared logins. When someone leaves, the club can see what they owned and who should take it next.

04

Season-aware allocations

A player can move teams, a coach can change age groups, and last season’s allocation stays in history. The current season stays clean without deleting the past.

05

Access that matches the job

People & Teams feeds Club OS permissions. A team manager should see their team. A registrar should see the register. A canteen volunteer should not see the whole club directory.

06

Ready for grading and fixtures

Draft boards, team needs and match-day lists all start from this register. If the people data is messy, every other module inherits the mess.

How it runs

A path volunteers can repeat.

01 · Start with the register Import or enter the people the club already knows: members, volunteers, coaches and committee.
02 · Assign roles Give each person the access and responsibility they actually carry this season.
03 · Build teams Create teams and attach players, coaches and managers from the same register.
04 · Keep it current When a family moves, a coach steps down or a new volunteer starts, update the record once.
What it replaces

The hidden systems clubs already have.

  • Member spreadsheets
  • Team lists in email attachments
  • Shared committee contact docs
  • Last year’s PDF that nobody trusts
